chronolipi
For university registries and school offices

Marksheets, migrations and verifications answered the same day

University registrars and archives, colleges, school offices, boards and examination wings.

The four things that change
  • What gets extracted from the page
  • What the timeline sorts on
  • Which gaps and expiries raise a work item
  • What an audit or reply export contains

Encryption, keys and hosting are identical for every sector — that part should not be configurable.

The failure modes

What actually goes wrong with this paper

Four familiar disasters

  • “Verification of 1998 batch, roll 214” needs a human in a godown, and replies take weeks.
  • Convocation certificates, migration and transfer records are one fire away from gone.
  • Admission audits need 4,000 files pulled to one standard, in a fortnight.
  • Students’ personal data sits in open racks with the almirah key under a doormat.

What Chronolipi does instead

1. Register pages to records. Scan ledger pages and certificate books; each entry becomes a record with roll, batch and year.

2. Indexed by batch and year. Every document for a student, from admission to degree, on one line.

3. Verification in minutes. Employer and higher-education requests are answered from the index, with a signed digital reply.

4. Audit packs. Pull every admission file for a year, programme and quota into one hashed bundle.

Fields and compliance

For education

Extracted as typed fields

  • Roll / registration no.
  • Batch & year
  • Programme
  • Certificate type
  • Issue date
  • Verification request
  • Consent to disclose

Anything the model is unsure about lands in a review queue instead of becoming your record.

What this does for your obligations

Academic records are personal data with a long tail — 20 years after convocation, someone still asks for proof. DPDP applies to minors’ data and to disclosures to third parties, so consent for verification and identity of the requester are logged alongside the document.

This is engineering context, not legal advice. Sector rules change; bring your compliance officer to the first call.

Straight answers

Can students request their own file?

Yes, through a scoped link: they see their records and the disclosure log showing who was given access, which is the fastest way to defuse a complaint.

We have 3 lakh ledger pages — how long does that take?

That is normal. Bulk ingestion runs at 600 dpi with per-batch QC; a registry that size typically indexes in three months with one staff member half time.

Do parents or employers need our consent to verify?

Third-party verification requests are recorded with purpose and outcome; you decide, per programme, what may be released automatically and what needs a registrar’s approval.

Send us twenty representative pages. We return them indexed, with per-line OCR confidence and a quote for the backlog — free, and deleted from our side once you have them.

Twenty pages takes an afternoon on your side and about a day on ours.
