Land records that survive the next monsoon, and the next transfer
Tehsildars and record rooms, municipal revenue wings, sub-registrar offices, PSUs sitting on decades of files.
- What gets extracted from the page
- What the timeline sorts on
- Which gaps and expiries raise a work item
- What an audit or reply export contains
Encryption, keys and hosting are identical for every sector — that part should not be configurable.
What actually goes wrong with this paper
Four familiar disasters
- The public asks for “the khatian for plot 241/14”; four clerks search three racks and one godown.
- Paper originals fade, get termited, and burn. Flood damage in Odisha has destroyed records that took 40 years to accumulate.
- Every transfer of a clerk loses a way of finding something. Institutional memory lives in one person’s head.
- RTI and court replies demand a date-ordered set of documents, which the rack cannot produce in a deadline.
What Chronolipi does instead
1. Rack → phone. A clerk photographs the file on the table. No scanner, no scanning room, no vendor visit.
2. Date + plot extracted. Khata year, plot, party names and registration number become searchable fields, not guesses.
3. Sorted by year. Every record for a plot appears as one line of time — 1971 allotment to last month’s mutation.
4. Citizen reply in minutes. Export a date-ordered PDF set for RTI, court or a citizen at the counter.
For government offices
Extracted as typed fields
- Document date
- Khata / plot number
- Village & district
- Party names
- Registration number
- Clerk / operator
- File movement note
Anything the model is unsure about lands in a review queue instead of becoming your record.
What this does for your obligations
RTI Act, Odisha Citizen’s Charter timelines, and the DPDP Act’s storage-limitation principle pull in the same direction: keep the record, not the copy of an Aadhaar that nobody needed. Chronolipi separates the two — sensitive identifiers are encrypted fields with their own retention clock.
Straight answers
Can we keep the paper originals?
Yes, and you should. Chronolipi is an index and a backup, not a licence to destroy records. Where a department formally adopts digital originals, the certificate pack supplies the integrity and custody evidence that decision needs.
Our offices have poor internet — is that a blocker?
The app queues encrypted uploads and syncs when a connection appears. Backlog ingestion can run on a drive delivered once a week.
Is a photograph admissible?
A digital record is admissible when its integrity and origin can be shown. Capture device, operator, timestamp and SHA-256 are recorded for every page, which is precisely what these objections ask about.
Put government offices's worst pile in the timeline
Send us twenty representative pages. We return them indexed, with per-line OCR confidence and a quote for the backlog — free, and deleted from our side once you have them.
Twenty pages takes an afternoon on your side and about a day on ours.
