chronolipi
For shopkeepers, dealers and agencies

Bills, warranties and the notice from the department — all in one place

Single shops and small chains, distributors and agencies, contractors, workshops and clinics-with-a-shop.

The four things that change
  • What gets extracted from the page
  • What the timeline sorts on
  • Which gaps and expiries raise a work item
  • What an audit or reply export contains

Encryption, keys and hosting are identical for every sector — that part should not be configurable.

The failure modes

What actually goes wrong with this paper

Four familiar disasters

  • A warranty claim needs the bill; the bill is in a file box that moved three times since Diwali.
  • The department asks for FY 2021-22 purchase records over WhatsApp with a two-day deadline.
  • Customer disputes turn on a date — delivered, paid, promised — that nobody wrote down.
  • Losing the day-book to water or fire is a small business’ real bankruptcy risk.

What Chronolipi does instead

1. Shoot it once. Every bill, warranty card and agreement gets a photo at the moment it arrives — ten seconds, no scanner.

2. Sorted by date and party. Bills cluster by vendor and financial year without you naming a single file.

3. Answer the notice. “All invoices from Sri Balaji Electricals, FY22” returns the set, ready to send.

4. Proof when it matters. SHA-256 receipt on each document: useful in a warranty dispute, quietly essential later.

Fields and compliance

For retail & small business

Extracted as typed fields

  • Invoice number
  • Invoice date
  • Vendor / customer
  • Amount & tax
  • Warranty end
  • Payment mode
  • Purpose note

Anything the model is unsure about lands in a review queue instead of becoming your record.

What this does for your obligations

GST record-keeping is a fixed window; DPDP says stop keeping personal data after the purpose ends. For a shop this means one clean rule: keep the bill, delete the customer’s phone-number copy of a receipt when the return window closes.

This is engineering context, not legal advice. Sector rules change; bring your compliance officer to the first call.

Straight answers

Is my phone camera good enough?

For A4 paper on a table, yes — we correct skew, shadows and crop, and reject a blurry page instead of indexing garbage. A ₹12,000 scanner improves throughput, not whether you can find things.

I am not technical — can I really run this?

The setup is: create workspace, set one passphrase, print the recovery card. After that it is a camera and a search box. If you can use WhatsApp, you can run this.

What if I stop paying?

You can export everything — PDFs plus a CSV of every extracted field — and your files leave as your files. Readable export requires your passphrase, so so does ours: keep it safe.
